Recruitment with People Admin

Posting Existing Positions

The process varies slightly by institution.

UNT and UNT System Administration:
Complete a HRM-5 form, submit a UPO-31 (Planning Guide) and acquire the necessary signatures for approval. Send the completed/signed forms to Employment.  Depending on the situation, a HRM-4 may also be required.  Please refer to the Recruitment Toolkit on the HR website for further guidance.

UNT Dallas:  
Complete a HRM-4 form and acquire the necessary signatures for approval. Send the completed/signed form to Human Resources.  Please refer to the Recruitment Toolkit on the HR SharePoint site for further guidance.

UNT Health Science Center:
Complete the posting on the Peopleadmin site, www.unthscjobs.com/hr and submit it to HR for review.  If additional forms are required (i.e. Hiring Freeze Exception forms), submit those to HRS before the position is posted.


Advertising and Posting the Position

Vacant positions are posted on the Institutional Career Sites and Work In Texas website. Once the approved paperwork is received in the Business Service Center, a draft posting will be created in the online application system, PeopleAdmin. The hiring department should ensure that the posting reflects the minimum qualifications, preferred qualifications and essential functions, knowledge, skills and abilities required for the position.


Using the Online Application System (PeopleAdmin)

PeopleAdmin is the university's online applicant tracking system that allows both applicants and hiring managers to manage the hiring process electronically. Use your EUID and Password to access the system. Guest Users will access the system by contacting the hiring department. If you do not have computer access, you may apply online at the Business Service Center located at Woodhill Square, 1112 Dallas Dr. Ste 220, Denton, TX.

Making the offer - Criminal History Check

Once the verbal employment offer – contingent on a successful background check - has been extended by the hiring official and accepted by the selected candidate, The BSC will send the Criminal History (CHC) Authorization Form and written Offer Letter to the new hire. The new hire will return the signed authorization form and offer letter to the BSC for the background check to be run. The CHC must be completed prior to the selected candidate’s start date. The hiring department will be notified when clear results are received, generally within three business days.


Disposition of Applicants

It is imperative that the hiring department carefully review all applications received prior to the removal of the posting from the online application system. The hiring department will submit the final disposition (reason for non-selection) for all applicants not selected. This information is used to record and summarize recruitment activities for the Equal Employment Opportunity and Affirmative Action Program Reporting Requirements.


Closing the Job

The department may close a posting at any time after the first five calendar days. Postings may be closed prior to being filled in order that the department may carefully consider the applications already received; however, once the position is filled the department must notify the BSC of the selection.

All documents relating to the application process (i.e., interview notes, candidate assessments, reference checks of finalists and online disposition of each candidate) must be maintained by the department for two (2) years. Departments should be aware that these documents may be released to the public under the Texas Public Information Act.


Following Up with Candidates

The online application system will generate an electronic response to all applicants (with e-mail addresses) that final selection has been made for a vacancy. For those applicants interviewed, the hiring department should communicate directly, preferably by phone. The notification should be clear and brief and should express appreciation for the applicant's interest in a position at the University. Non-selected applicants who request specific information or access to selection documents should be referred to the BSC.
